Real estate lead management: from portal enquiry to booking
A real estate lead management guide for Indian builders and brokers: capture portal and walk-in enquiries, book site visits, and follow up until booking.
21 October 2026 · LeadManagement Team
Real estate lead management is the process of capturing every property enquiry (from portals, ads, walk-ins, and referrals), assigning it to a salesperson, getting the buyer to a site visit, and following up until they book or clearly say no. For Indian builders and brokers, it is the difference between a full sales gallery and a phone full of forgotten numbers.
A typical scene: a 2BHK enquiry comes in from a portal at 9:40 pm. Nobody calls until the next afternoon. By then the buyer has spoken to three other projects in Whitefield and booked a visit with one of them. The lead wasn’t bad. The process was.
Why property leads are hard to manage
Real estate is a long, high-value, emotional purchase. That creates specific problems:
- Volume with low intent. Portal leads include serious buyers, casual browsers, and people who clicked the wrong listing.
- Long cycles. A buyer may take weeks or months between first enquiry and token amount, often waiting for a loan sanction or a family decision.
- Many decision makers. Husband, wife, parents, sometimes a relative in Dubai who is “funding part of it”.
- Duplicate enquiries. The same buyer enquires on two portals and also calls the hoarding number.
- Staff churn. When a sales executive leaves, their WhatsApp chats and call logs leave with them.
A lead management system solves this by keeping every enquiry, note, and follow-up in one shared place that the business owns.
Where real estate leads come from
| Source | Typical quality | How to capture it |
|---|---|---|
| 99acres, MagicBricks, Housing.com | Mixed; fast response matters | Download or export enquiries and import them by CSV, or push them in via API |
| Google / Meta ads | Mixed; depends on the form | Landing page form, or export and import |
| Hoarding and newspaper calls | Medium to high | Log the caller as a lead during the call |
| Site walk-ins | High | Reception logs name, phone, budget, and configuration |
| Channel partners / brokers | Medium to high | Record the partner’s name in a custom field |
| Referrals from existing buyers | High | Source “Referral”, with the referrer’s name |
| Mixed | Add as a lead with source “WhatsApp” |
Record the source on every lead. After two or three months you will know which portal or campaign actually produces site visits and bookings, not just enquiries.
The fields that matter for property leads
Keep the first capture short. Name and phone are enough to start. Then add, during the first call:
- Configuration: 1BHK, 2BHK, 3BHK, plot, villa, office
- Budget: for example ₹60–75 lakh
- Preferred location or project
- Purpose: self-use or investment
- Loan required: yes, no, or pre-approved
- Possession timeline: ready-to-move or under construction is fine
- Channel partner, if any
These answers do most of your qualification for you. A buyer with a pre-approved loan who wants ready-to-move in your micro-market is a very different lead from an investor “just exploring”. For a structured approach, see BANT vs MEDDIC lead qualification.
Real estate pipeline stages
Generic stages like “Contacted” and “Proposal” don’t describe how property is sold. Use stages that match the buyer’s journey:
- New Enquiry – not yet called
- Contacted – first call done, requirement understood
- Site Visit Scheduled – date and time fixed
- Site Visit Done – buyer has seen the project or sample flat
- Negotiation – discussing unit, floor, price, payment plan
- Token / Booking – token amount received
- Won (Agreement) – agreement or sale deed executed
- Lost – with a reason: budget, location, bought elsewhere, loan rejected, not responding
The single most important number in this pipeline is enquiry-to-site-visit. Buyers rarely book without seeing the property, so your team’s job in the early stages is to get the visit. More on designing stages in how to design sales pipeline stages.
Site visit follow up: the schedule
Most property deals are won or lost in the follow-up around the site visit. A simple schedule:
| When | Action |
|---|---|
| Within 15–30 minutes of enquiry | Call. If no answer, WhatsApp the project brochure and location pin |
| Same day | Second call attempt in the evening, when salaried buyers are free |
| Day 1–2 | Propose two site visit slots, ideally a weekend |
| Day before visit | Confirm on WhatsApp with the location pin and the executive’s name |
| Visit day | Note the family’s reaction, preferred units, and objections on the lead |
| Day 1 after visit | Call: answer questions, share the cost sheet for the units they liked |
| Day 3–5 | Share loan options or a payment plan; invite a second visit with decision makers |
| Day 10–14 | Check-in; share any new offer or inventory update |
| Monthly | Nurture until they buy or say no; then mark Lost with a reason |
Two rules make this work. First, every lead must always have a next follow-up date. Second, notes go on the lead, not in someone’s personal WhatsApp, so a manager or a new executive can pick up the conversation.
Distributing leads across the sales team
Builders often have a pre-sales team (calling and visit booking) and a closing team (at the site). Brokers usually have a few executives, each covering certain localities. Either way, every lead needs one clear owner.
For small teams, the simplest approach is a manager assigning new leads within 30 minutes, by project or locality. When a buyer moves from pre-sales to the site, reassign or add the closing executive. Read more in how to assign leads to your sales team.
Handling duplicates and re-enquiries
Search by phone number before creating a new lead. If the buyer already exists, add a note (“Enquired again on Housing.com for Tower B”) and update the follow-up date instead of creating a second record. Re-enquiries are good news; they usually mean the buyer is getting serious.
How LeadManagement works for real estate teams
LeadManagement is a simple lead management system for small sales teams, and it fits builders’ pre-sales desks and broker offices well:
- Capture: add leads by hand, through web forms, by CSV import (for portal and ad exports), or via the API. There’s no native portal integration, so portal leads come in by export-and-import or API.
- Custom fields and stages: add configuration, budget, loan status, and channel partner as custom fields, and set your own statuses such as “Site Visit Scheduled” and “Token Received” in Lead Settings.
- Lead Board: a kanban view of every enquiry by stage, so you see at a glance how many visits are booked this weekend.
- Follow-ups: each lead gets a next-action date, and the daily follow-up queue shows what is overdue, due today, and upcoming. The activity timeline keeps every note in one place.
- Team: assign leads to executives manually; team members see a focused view, and the Team Performance page compares reps.
- Quotes: send a GST quotation PDF or WhatsApp link from the lead, useful for brokerage, interiors, or add-on packages.
It runs as a web app you can add to your phone’s home screen, plus a Windows desktop app for the office. Plans start at ₹499/year.
Frequently asked questions
What is real estate lead management?
Real estate lead management is capturing property enquiries from every source, qualifying them, booking site visits, and following up until the buyer books or declines. It keeps all buyer details, notes, and follow-up dates in one shared system instead of personal phones.
How do I manage leads from 99acres, MagicBricks, and Housing.com in one place?
Export or download enquiries from each portal and import them into your lead management system by CSV, or send them through an API if your setup supports it. Tag each lead with its source so you can compare which portal produces site visits and bookings.
What is the best real estate CRM in India for small brokers?
For small brokers and builder sales teams, a simple system with quick lead entry, custom stages, follow-up reminders, and a mobile-friendly view is usually enough. Compare options in our list of the best lead management software in India.
How soon should I follow up on a property enquiry?
Call within 15–30 minutes if you can, and make a second attempt the same evening. Portal buyers often enquire on several projects at once, so the first useful call has an advantage.
How do I increase site visits from property leads?
Offer two specific visit slots instead of asking “when are you free?”, confirm the day before with a location pin, and make the visit easy for the whole family. Track enquiry-to-site-visit conversion per source and per executive.
